Inviting team members and managing access

How to invite people to your Organisation, assign them to Brands, and what each role can do.

Access works in two steps

This is the part that trips people up, so it is worth stating up front.

  1. Invite the person to your Organization. This creates their account and lets them sign in.

  2. Assign them to specific Brands. This is what actually gives them access to data.

Step 1 on its own gives them nothing. Someone who is in your Organization but has not been assigned to a Brand cannot see any keywords, articles, audits, or reports. Access is granted per Brand, every time.


How to invite team members

  • Go to your Organization settings > All Brands

  • Click Invite member

  • Enter their email address

  • Choose their role

  • Click send

They receive an invitation to join your Organization. Once they have accepted, assign them to the Brands they should work on.


Roles and what they can do

Roles are assigned per Brand, not once for the whole account. The same person can be an admin on one Brand and a plain member on another.

Full use of that Brand, and can add other people to it. An admin can only add someone as a member, not as another admin.

Only the Organization owner can see billing. Adding someone to a Brand, at any role, does not expose your billing or your other Brands.


What someone can see

Within a Brand they have been assigned to, they see everything in it: keywords, audits, traffic, AI visibility, reports, and every article including drafts and private ones. There is no per-article or per-section permission.

Brands they have not been assigned to are invisible to them. They will not appear in the Brand switcher at all.


How many people can I invite?

Your plan includes a number of seats, and each person in your Organization takes one:

  • Starter: 1 seat

  • Pro: 6 seats

  • Scale 1 and above: unlimited seats

A seat is counted once per person, no matter how many Brands they are assigned to. Adding someone to five Brands still uses one seat.

Additional seats beyond your plan are priced at $5 per seat per month, but self-serve purchase is not switched on in the dashboard yet. Email [email protected] if you need more, or upgrade to Scale for unlimited seats.

Check your current seat count in Settings -> Billing.


Working with clients

The per-Brand model is designed for exactly this.

  • Create a separate Brand for each client site

  • Invite the client to your Organization

  • Assign them only to their own Brand

They will see their own dashboard, reports, and keywords, and nothing else. Your other clients, your internal projects, and your billing all stay invisible to them. You do not need a separate Organization or a separate account for each client.

If you would rather clients did not log in at all, you can send them scheduled reports instead. Scale plans can brand those reports as your own with white label reporting.


Removing or changing access

  • Go to Organization settings

  • Find the member in the list

  • Click Remove to revoke their access completely, which also frees up their seat

  • Or click Change role to switch between admin and member

You can also remove someone from a single Brand while leaving their access to the others intact.

Removed members lose access immediately. Their data and work inside the Organization are preserved.
